Privacy Policy

Effective Date: October 17, 2026
Last Updated: October 17, 2026

Piedmont Vista Group LLC (“Piedmont Vista,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal data we collect through our websites (modernsmartamenities.com, modernsmartstores.com and piedmontvistagroup.com) and our unattended retail equipment, including AI Smart Stores, MicroMarkets, and bean-to-cup coffee systems (collectively, the “Services”).

At a high level, we collect only the information necessary to evaluate commercial sites, manage B2B client relationships, and process seamless, cashless transactions at our physical smart stores without collecting biometric identifiers.

1. Scope of This Policy

This Privacy Policy applies to two primary groups of individuals:

Website Visitors and Commercial Inquiries (B2B): Property managers, business owners, and facility contacts who visit our websites, request a site assessment, share feedback, or communicate with us.

Smart Store & MicroMarket Customers (End Users): Individuals who unlock, shop at, or interact with our physical AI Smart Stores, MicroMarkets, and coffee systems at participating locations across Northern Virginia.

2. Information We Collect

We categorize the data we collect into three mutually exclusive operational streams:

A. Website & Commercial Inquiry Data

Contact & Site Information: When you request a free assessment or contact us, we collect your full name, work email address, phone number, company name, building type, location address, and estimated daily foot traffic.

Feedback & Snack Requests: When you use our customer feedback form, we collect your name, email address, location, feedback category, rating, and the message you write.

Technical & Usage Data: When you browse our websites, we automatically collect IP addresses, browser types, device identifiers, pages viewed, and referring URLs via cookies and similar technologies. We use Google Tag Manager, Google Analytics, Vercel Web Analytics, and Microsoft Clarity for this purpose. Microsoft Clarity records how visitors interact with a page, such as clicks, scrolling, and mouse movement, so we can improve our websites. Microsoft Clarity runs on our Modern Smart Amenities and Modern Smart Stores websites.

B. Smart Store & MicroMarket Transaction Data

Payment Information: When you tap a credit card, debit card, or mobile wallet (Apple Pay, Google Pay, Apple Cash) at our door terminals or kiosks, payment details are tokenized and processed directly by our PCI-DSS compliant payment processors. Piedmont Vista does not store your full credit card number or CVV on our local equipment or corporate servers.

Purchase History & Telemetry: We collect transaction timestamps, store location, items selected, total charge amounts, and anonymized payment tokens to process charges, issue receipts, resolve billing disputes, and track product inventory.

C. AI Vision, Camera, and Sensor Data

Object-Recognition Video: Our AI Smart Stores utilize internal and external cameras paired with computer vision and weight/shelf sensors to detect which products are removed or returned during a session.

Security Footage: MicroMarkets and Smart Stores may utilize video recording to prevent theft, vandalism, and unauthorized access.

No Biometric Identification: Our AI vision technology is configured strictly for product and movement recognition. We do not use facial recognition technology, nor do we extract, scan, or store biometric identifiers (such as facial geometry, iris scans, or fingerprints) to uniquely identify individuals.

3. How We Use Your Information

We use the collected information for the following business and operational purposes:

Fulfilling B2B Requests: To schedule site assessments, evaluate space and power requirements, install equipment, and communicate with facility points of contact.

Autonomous Checkout Processing: To unlock smart coolers, accurately identify selected merchandise, calculate totals, and bill your chosen payment method.

Inventory & Equipment Maintenance: To monitor stock levels, product expiration dates, and cooler temperatures in real time via cloud monitoring.

Security & Fraud Prevention: To investigate payment disputes, prevent shoplifting or equipment tampering, and ensure food safety compliance.

Legal Compliance: To comply with applicable state and federal laws, tax obligations, and law enforcement requests.

4. How We Share and Disclose Data

We do not sell your personal information to third parties. We share data only with trusted service providers necessary to operate our business:

Hardware & AI Platform Partners: We utilize Certified MicroMart technology and cloud infrastructure providers to process computer vision checkout data and remote inventory telemetry.

Payment Processors: Financial institutions and merchant processors that authorize and settle cashless payments.

Website & CRM Providers: Hosting providers, analytics services, email and spreadsheet tools, and customer relationship management tools used to run our websites and respond to commercial inquiries.

Host Properties (Aggregated Data Only): If your workplace or residential building participates in a revenue-sharing or subsidized pantry program, we may share aggregated sales volume and product popularity reports with the property manager. We do not share individual purchasing habits or video footage with host properties unless required to investigate a documented security incident.

5. Data Retention and Security

We implement industry-standard administrative, technical, and physical safeguards, including encrypted payment terminals and secure cloud transmission, to protect your data.

Transaction Records: Retained for up to seven (7) years to comply with tax, accounting, and financial audit requirements.

AI Vision & Security Video: Video clips associated with a transaction or security event are retained only as long as necessary to verify transaction accuracy, audit AI performance, or investigate theft/disputes (typically between 14 and 90 days), after which they are automatically overwritten or deleted.

B2B Lead Data: Retained for the duration of our business relationship or until you request deletion.

6. Virginia Privacy Rights (VCDPA) & Your Choices

For residents of the Commonwealth of Virginia, the Virginia Consumer Data Protection Act (VCDPA) provides specific rights regarding personal data. While B2B commercial contacts are generally exempt under Virginia law, we extend the following transparency and control options to our users to the extent applicable by law:

Right to Know & Access: Confirm whether we are processing your personal data and request access to such data.

Right to Correction: Request that we correct inaccuracies in your personal data.

Right to Deletion: Request deletion of personal data provided by or obtained about you (subject to legal and fraud-prevention retention exceptions).

Right to Opt-Out: We do not sell personal data, engage in targeted cross-context behavioral advertising using smart store data, or perform automated profiling that produces legal or similarly significant effects.

Note on Smart Store Data Lookup: Because we do not require user accounts or apps to use our Smart Stores, we cannot identify you by name in our transaction logs. To request access to or deletion of a smart store transaction, you must provide the exact date, time, machine location, and the last four digits of the payment card or mobile device token used.

7. Children’s Privacy

Our websites and commercial services are not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13.
